Users are now able to update approver steps while the form is in test mode. To add/remove steps, there should be no test submissions, please delete all test submissions before moving forward.
Note: This article applies to Form Owners and Form Admins only; Please contact your district people admin or other point of contact if you believe you should have form creator access.
Below are the actions you can take:
How to add one or more steps
- From your Manage forms section, click on your new or copied that is in testing form.
- Navigate to the Approver/CC page.
- Locate the part of the approval route where you would like to add a new step and click the Add step button.
- Name your new step and select the type of step you would like to add to the route:

Select from a list that I define...
This option will allow you to add each approver choice staff will select from individually or via CSV. -
Select from a centralized approver list...
Centralized approver lists are managed by your district's people admin. Utilizing centralized lists will help keep your approvals up to date since all approver changes are applied automatically once the central list is updated. -
Enter the name and email when approving...
Useful when the list of approvers is too large or unknown. Approvers will be prompted to enter the name and email of the next approver. -
Send to a previous approver...
This new step type will allow you to select a source step the form will route to. This is helpful when the form comes back to an earlier step for review and reduces the extra step for staff to enter the name and email manually.

- Click the Add Step button to save your new step to the route.
- Please take a moment to edit your form's document and assign fields to your new steps as necessary.
How to delete a step
- From your Manage forms section, click on your new or copied that is in testing form.
- Navigate to the Approver/CC page.
- You will need to edit some additional settings if the following settings are present:
- Form fields are assigned to the step you want to delete. Please edit your document to make sure there aren't any fields assigned to the step you wish to delete.
- A routing question routes the form to the step you want to delete. Please edit your routing question to make sure none of the answers route to this step.
- Form fields are assigned to the step you want to delete. Please edit your document to make sure there aren't any fields assigned to the step you wish to delete.
- Locate the step you would like to delete and click the trashcan icon
- Click Delete step to confirm that you wish to delete your step. This cannot be undone.
