When a form is in test mode, users will be able to edit the approval route with few limitations. Once a form has received submissions, there are constraints on the type of step changes allowed because doing so can create unexpected routing issues and confusion for recipients.
As a result, adding and removing steps can only be done under limited circumstances by Support at the request of the Form’s Owner or a Form Admin.
Alternatives to Adding/Removing a Step
- We recommend duplicating the form when route updates include the removal or addition of an approval step. Copied forms will automatically be in a Testing status so you can test and edit your new form’s route before publishing.
- Sometimes the removal of a step can be bypassed by adding a routing question to the route. A routing question is used to skip steps within an approval route. In practice, this would involve creating a routing question that has a single answer to advance the form past the unnecessary step. For example:
- Additionally, if a new step is being added with the purpose of notifying a recipient, a similar goal can be achieved by using CC/Notifications.
- If none of the above will work for your form, we are able to review the route to see if the update is possible without causing issues. Please see the list below for factors that may prevent this ability.
Limitations that will Prevent Adding/Removing a Step
Factors that may limit the ability to add or remove the step include but are not limited to:
- Dispatch route settings: If your form utilizes dispatcher settings to delegate recipients, removing or adding steps can cause routing errors and confusion for recipients.
- Completed Submissions: If a submission has passed through the approval step, it cannot be deleted.
- New Fields: If the new approval step will include new fields, we may require a new form setup. Route changes take effect immediately while new field placements are only visible on new submissions. This can create confusion for approvers on the route who may see forms from both versions.
