Centralized approver lists are created and managed by your district’s People Admin. They are sets of reusable approver lists to make it easier to account for changes in positions. All changes made to the centralized approver list will automatically update any forms where the centralized list is being used.
Note: Only People Admin have access to manage these lists. To make use of a centralized approver list on your forms please refer to this article.

Creating a new centralized approver list
- Go to the Admin menu and click People.
- Click Centralized Approver Lists.

Click Add new list.
- Add the Name of your list and an optional description

Next, you will be able to upload a CSV of users.
Your CSV must be uploaded in a particular format, that includes: - The Email of the user
- The Name/Title of the approver. EX: Director, Student Services.

We recommend that you use titles or roles that will be familiar to users submitting who may not know the individual approving the form

Once your CSV is prepared, you will click Choose File > select your file > Open/Confirm
- Click Create List.
Updating a centralized approver list
- First, go to the Admin menu and click People.
- Click Centralized Approver Lists

Locate the list and click View/Edit
To add a new approver(s)…
- Click Add Approver

Add the approver’s Name/Title and Email
- To add multiple approvers, click the Upload via CSV option
- Once your CSV is prepared, you will click Choose File > select your file > Open/Confirm
- Click Import approvers
To update an existing approver…
- Locate the approver from the list and click the Pencil icon

Update the Name/Title and/or email

Click Update. Any pending approvals will be automatically routed to the new approver.
Note: You might need to make additional updates if the user needs to be replaced on all approval routes and permissions. Go to this article to learn more.
To delete an existing approver…

Locate the approver from the list and click the trashcan icon. If the approver has any forms pending approval, you will be prompted to select a new approver from a dropdown to transfer these forms.
- Select the new approver from the dropdown

Click Delete Approver
